How do I register to join The Civica Pay Education Portal?

You will receive an email or letter from your child’s school that contains an activation code.

The email will be sent from donotreply-education@civicapayments.co.uk asking you to register an account and add your child using the code.

You can add other child accounts using a separate activation code.

Activation codes expire after seven days. To request a new one, please contact the school.

Please note, the email address and mobile number used for verification must match the details held by the school. If you have any problems registering, please contact the school.

How do I activate my account?

To activate your account click on the link in the registration email and create an account. The verification details must match the details the school has. Activation codes expire after seven days. To request a new one, please contact the school.

What if I have a problem activating my account or my email address is not recognised?

Please contact the school to ensure your details match the school’s records. They will contact the Education Payments team if necessary.

What if my child moves school mid-year?

Your child’s new school will send you a registration email with a new registration code.

Their previous school account will remain visible if the balance is below or above zero. If the balance is below zero, it will need to be paid to clear the account. If the balance is above zero, you may transfer to another child in the same school or request a refund by contacting the school your child has left.

Can I have all my children in one account?

Yes, - when you have registered one child, you can click on the Add Child button. You will need individual activation codes, which you can get from the school.

What if my children are in different schools?

If you have children in different schools, and these schools use the Civica Pay Education Portal, then you will be able to manage all your children from the same account.

I have forgotten my password what do I do?

To reset your password, go to the login page and click on the Forgot your password link. Enter your email address which will send you a verification code. Enter this code and you will be able to change your password.

How do I pay for my child’s lunches?

Click on your child’s name and click Add Funds.

Input the amount of money you would like to add and check out.

On the Add Card Details page enter all the required card details.

You can save your card details for future use.

Click pay now to complete. You will receive an emailed receipt.

How do I know my payment has been added to my child’s account?

To check your child’s balance, click on the dashboard menu at the top of the receipt page.

You can also check in the payment transaction history by clicking on the options bar under your child’s name.

If the account balance is incorrect, or you cannot see a payment transaction update, please contact the school.

What if my child’s catering account is running low on funds?

You can set up automatic payments by clicking on the subscribe button under your child’s account details.

Set the amount you wish to top-up each time their balance falls below the threshold.

You can turn automatic payments off by clicking back on the subscribe button.

How do I save my Debit/Credit card for when I want to set up Auto top-up on my catering account?

This can be done when you subscribe to automatic payments.

Or you can click on Manage Cards from the dashboard to add and save a new card.

Can I use different payment cards?

Yes – you can add different card details by clicking on the Manage Cards item from the dashboard.

If I save my card on the education system are the details safe?

Your card details are not stored on the CivicaPay Education system – card details are held encrypted on a separate secure system.
